Cottage Terms and Conditions

Snowberry Cottage

TERMS AND CONDITIONS – updated 21st June 2026


 1. Who We Are & How Our Contract Works

When you book Snowberry Cottage, you are entering into a contract with the Owners (“we”, “us”, “our”). By making a booking, you confirm that you have the authority to accept these Terms on behalf of your party.


A binding contract is formed once we issue written confirmation of your reservation. This confirmation will refer to these Terms and outline the accommodation and services included.


These Terms apply to all bookings made directly with us (via our website, email, or telephone) and through third‑party booking platforms.

  

2. Making a Booking

  

2.1 Booking Process

When you book directly through our website, you will receive an automatically generated booking summary by email. Your booking is not confirmed until you receive our formal confirmation email.


Telephone bookings are held for 24 hours pending receipt of the deposit. If the deposit is not received within this time, the provisional booking will be cancelled.


Bookings made through online travel agents (such as Airbnb or Booking.com) are confirmed and managed under the terms of the platform you booked with. Their confirmation and payment schedules may differ from our direct booking process, and their policies will apply to your reservation.


2.2 Deposits & Payments (Direct Bookings Only)

The following payment terms apply only to bookings made directly with us:

· Bookings made 6+ weeks before arrival: A £50 non‑refundable deposit is required. The remaining balance is due 6 weeks before arrival. If the balance is not paid by the deadline, the booking will be cancelled and the deposit forfeited.

· Bookings made within 6 weeks of arrival: The full balance is payable at the time of booking.

· Payment methods: Debit/credit card, bank transfer, or cash.


For bookings made through online travel agents, all payments are handled by the platform in line with their own terms and schedules.


2.3 Price Guarantee

Your price is guaranteed once you receive written confirmation. Prices may change at any time prior to booking.


2.4 Responsibility for Your Party The person making the booking accepts responsibility for the behaviour of all members of their party and for ensuring that all guests comply with these Terms and Conditions.

  

3. Price Match Promise

If you find a publicly available lower rate for the same stay within 24 hours of booking directly with us, we’ll match it and take a further 10% off. This guarantee applies only to bookings made directly through our website.


It does not apply to prices where a third party (such as an online travel agent) is funding part of the cost — for example, platform‑funded discounts, loyalty rewards, Genius reductions, mobile‑only rates, or promotional credits. These are not considered genuine lower rates and are excluded from our Price Match policy.


4. Cancellations & No‑Shows

  

4.1 Cancellations by You

· All cancellations from direct bookings incur a £50 administrative charge.

· 14+ days before arrival: Only the £50 deposit is retained.

· Within 14 days of arrival: The full booking value is charged.

· No‑shows: The full booking value is charged.


If you booked through an online travel agent (e.g., Airbnb, Booking.com), you must cancel through that platform and their policies will apply.


We strongly recommend travel insurance to cover unexpected cancellations.


4.2 Cancellations by Us

On rare occasions, we may need to cancel your booking. If this happens, you will receive a full refund. We will try to help you find alternative accommodation, but we cannot guarantee this or accept further liability.


5. Travel Disruptions

If ferry or flight services are disrupted due to weather or industrial action, we cannot offer refunds for non‑arrival or early departure. Travel insurance is strongly recommended.


6. What’s Included in Your Stay

Your booking includes:

· Exclusive use of Snowberry Cottage

· Private garden and parking area

· Free WiFi


7. Availability & Unexpected Issues

All bookings are made in good faith. If the Cottage becomes unavailable due to circumstances beyond our control (e.g., fire damage), we will refund all monies paid. No further claims can be made.


We may make improvements or changes to facilities when needed.


8. Gift Vouchers

· Valid for 36 months from issue.

· Redeemable on direct bookings only.

· No cash value; no change given.

· Lost or expired vouchers cannot be replaced.

· Vouchers are transferable.


9. Children & Guest Requirements

· Children under 6 cannot be accommodated.

· All guests under 18 must be accompanied by a responsible adult.

· At least one guest must be aged 18 or over.

· No cots or extra beds are available.


10. Accessibility

We offer some modified facilities for guests with impaired mobility. Please contact us before booking to ensure we can meet your needs.


11. Pets

No pets are permitted due to allergies. Assistance animals are welcome — please notify us in advance so we can arrange appropriate cleaning.


12. Parking

Free off‑street parking is available. Vehicles and contents are left at the owner’s risk.


13. Electric Vehicle Charging

There is no EV charging at Snowberry Cottage. The nearest charger is 2.5 miles away at Galson Campsite.


Using domestic sockets to charge an EV is unsafe and strictly prohibited. Anyone found doing so will:

· be charged £400, and

· be required to leave immediately with no refund.


14. Guest Behaviour

We ask all guests to behave respectfully and safely at all times.


Reporting Issues During Your Stay We want you to enjoy a smooth and comfortable stay. If anything in the Cottage needs attention, please let us know as soon as possible during your visit so we can put things right quickly. Issues raised only after departure cannot be considered for refund or compensation, as we were not given the opportunity to resolve them at the time.


Not permitted:

· Parties or gatherings of any kind

· Smoking, vaping, or e‑cigarettes inside the Cottage

· Illegal or unsafe behaviour


A deep‑cleaning charge of £400 applies if smoking or vaping occurs indoors.


We reserve the right to refuse service or require guests to leave if behaviour is inappropriate or unsafe. No refunds will be given in these circumstances.


Guests are responsible for securing their belongings. We cannot accept liability for loss or damage unless caused by our negligence.


Fair Use of Utilities Guests agree to use heating, hot water, electricity, and appliances reasonably and in line with normal domestic use. Excessive or negligent use (for example, leaving heating on with windows open) may incur additional charges.


Private Use Only Snowberry Cottage is offered for private leisure use only. Commercial use, events, or professional photography/filming are not permitted without our prior written consent.


15. Check‑In & Check‑Out

· Check‑in: From 4:00pm

· Check‑out: By 10:00am


Late check‑out may be possible but is not guaranteed and may incur a fee.


You will receive arrival instructions and the lockbox code on the day of arrival.


16. Damage & Additional Cleaning

You authorise us to charge your card for:

· Damage to the property

· Missing items

· Specialist or excessive cleaning


Reporting Damage We understand that accidents can happen. Please let us know promptly if any damage occurs during your stay. Early reporting helps us put things right for the next guests, and we are always fair and understanding when notified at the time.


17. Maximum Occupancy

The Cottage accommodates a maximum of four people, including children. This includes visitors.

Breaching this condition may result in immediate removal with no refund.


18. Prize Vouchers

Prize vouchers:

· Cannot be exchanged for cash

· Cannot be replaced if lost

· May be extended only at our discretion


19. General Provisions


19.1 Governing Law

These Terms are governed by Scottish law. Any disputes will be handled by the Scottish Courts.


19.2 Conflicting Terms

If any of your own terms conflict with ours, these Terms take precedence.


19.3 Transfer of Contract

We may transfer our rights under this contract, but will notify you if this happens. You may transfer your booking only with our written consent.


19.4 Force Majeure

We are not liable for events beyond our control (e.g., extreme weather, natural disasters, pandemics, utility failures).


19.5 Limitation of Liability

Our liability is limited to the value of your booking, except where prohibited by law (e.g., personal injury caused by our negligence).
